We’re seeking a Senior Administrative Assistant, Relationship Investments to partner with key stakeholders and peers to support and engage with our powerful networks of people, opportunities, and investments. The Administrative Assistant will support the Managing Director and Head of Responsible Investment as well as with other members of the Responsible Investment department on administrative tasks relating to commercial and access to information matters.
As a Senior Administrative Assistant, Responsible Investments , you’ll:
- Schedule internal and external meetings
- Management of the Responsible Investment calendars of senior members of the team
- Assist with the organization and maintenance of confidential files including documents regarding deals-in-progress
- Create and maintain filing systems
- Assist with the drafting of PowerPoint presentations
- Occasionally edit documents prepared by the teams
- Ensure that requests for actions or information are relayed to the appropriate persons within the team
- Monitor and manage budgeting, contracting and licencing processes
- Make travel arrangements and prepare expenses accounts.
- Potential to assist in Responsible Investment and Chief Investment Office wide events and charitable giving initiatives
- Good knowledge of MS Office, including a strong proficiency in Outlook, Word, PowerPoint and Excel
- Knowledge of document management software (Worksite) is an asset
- Bilingualism required
- Responsible and diligent, able to work independently and as part of a team
- Team player and ability to develop positive relationships with peers
- Strong organizational skills and ability to prioritize and handle multiple requests at once
- Good judgment and ability to build sound relationships with colleagues and business partners
- Discretion, autonomy and attention to detail
- Flexibility and adaptability to finalize tasks
- Proactive in seeking out input, clarification from team
- Work ethics and professional integrity
- College degree (DEP or AEC) in Office Administration
- Minimum of five (5) years of experience as an administrative assistant within the financial services industry, a government institution, an ESG consulting firm or another professional environment
